This page is for the part of an evaluation that comes after “looks interesting” — the specific questions a merchant or an implementation partner needs answered before committing to a build — the “can QuotWay actually do this, and is it enforced?” questions. Each answer says what happens, where the boundary sits, and which plan it needs, and links to the documentation that proves it.

How a request gets from your storefront into your inbox, and what you can ask for on the way.
Can a whole cart be converted into a quote?
All plans- Yes. A buyer can turn an entire cart into one quote request, from a cart-page block you place in the theme editor or from the slide-out mini-cart, which QuotWay injects automatically because drawers can't host theme blocks. The cart is read line by line and the quote is seeded with the quote-eligible items, so the buyer keeps their cart and the quote runs alongside it. Cart and mini-cart button.
Can buyers request a quote without creating an account?
All plans- Yes. Guest quoting works on every plan including the free Lite plan. The buyer gets a secure emailed portal link to review, counter and accept, and can claim the quote into a customer account later. Guest quotes and account claim.
Can I control which products and which buyers see the quote button?
All plans- Yes. Targeting rules run on two separate sides: which products show the button (all products, a collection, a product tag, type or vendor) and which buyers may submit (everyone, a customer tag, a Shopify customer segment, guests, or a specific B2B company or location). Both default to deny, so nothing is quotable until you say so. Targeting rules.
Is product eligibility enforced, or is hiding the button the only control?
All plans- It's enforced on the server. When a quote is submitted, QuotWay re-runs your rules server-side, and before evaluating it discards the product type, vendor, tags and collections sent by the storefront and substitutes the authoritative values fetched from your Admin API. Customer tags are re-fetched the same way. Any failure to resolve a product defaults to deny, so an excluded product can't be quoted through a crafted request. Targeting rules.
What can I ask for on the quote form?
Starter and up- Name, email and the products and quantities are always captured. You can switch on company name, phone, shipping address, PO number, notes, file uploads, a requested delivery date and a requested price per line. Beyond that, custom fields cover anything specific to how you sell - five on Starter, unlimited on Professional and Enterprise - across ten field types including dropdowns, dates, numbers and file uploads. Can the form show different questions to different buyers?
Professional and up- Yes, with conditional logic: a field appears only when an earlier answer calls for it, so a reseller sees the tax-ID question and nobody else does. The controlling field has to sit above the field it reveals. Custom fields and conditional logic.
Pricing and negotiation
What you can change on a quote, and what stops a deal going below where it should.
Can individual line prices be edited?
All plans- Yes, on every line of every quote. You set a unit price and quantity per line, and for catalog lines the discount against the catalog price is shown inline as you type, so you can see how deep a line has gone without working it out. Custom and manual line items.
Can I add a line that isn't a Shopify product?
Starter and up- Yes, on quotes you create. A custom line carries a title you type and a price you set with no variant behind it - an assembly fee, freight, a service, a made-to-order item - plus requires-shipping and taxable flags that apply only to custom lines. It converts onto the Shopify draft order as a custom line item, so it survives to the order. Custom and manual line items.
Can buyers counter-offer, or only accept and decline?
Starter and up- Buyers can counter. Each round is captured as a numbered version carrying line prices, discounts, shipping and expiry, so both sides can see exactly what moved between rounds. Merchant counter-offers work on every plan; buyer counter-offers and a buyer-requested price at intake start on Starter. Counter-offers and buyer prices.
Can I stop a discount going deeper than I allow?
All plans- Yes. A price floor sets the maximum discount below catalog, checked per line rather than on the blended total, so one deep line can't hide inside an otherwise full-price quote. It applies to manual sends and to automated ones. Floor price and discounts.
Can shipping or freight be priced into a quote?
Starter and up- Yes. A proposal carries a shipping amount and a label, and you can either lock a final figure or mark it pending when freight still has to be costed. Live rates for the buyer's address can be pulled into the proposal from Starter. A locked rate is forwarded onto the draft order at conversion. Shipping on a proposal.
Do quotes expire, and can the buyer still accept afterwards?
All plans- Quotes expire and an expired quote can't be accepted. A shop-wide default (1 to 365 days, set to 14 out of the box) is applied when the request arrives, and you can override it per quote. One reminder goes to the buyer a set number of days before the date, from 0 to 90, defaulting to 3. Once a quote expires the portal moves it to history and accept, counter and decline are no longer offered. Proposals, versions and expiry.
Approvals and control
Whether sign-off is a convention or a control - the questions evaluators ask hardest.
Can a sales rep send a discounted quote without approval?
Professional and up- Not when a policy matches it. The approval gate sits inside the send action on the server, not in the interface: the proposal version is created, the quote parks at awaiting approval, and the buyer notification is never queued. There's no send-anyway option, and because the check is in the send path it applies to automated sends as well as manual ones. How approval enforcement works.
Can approval rights be tied to specific staff accounts?
Professional and up- Yes. Each step names its approvers, either as specific staff members or as a role such as any Manager, and decisions are authorised on the server against that list. Someone who isn't a named approver is rejected on the request, not merely hidden from the button. How approval enforcement works.
Can a rep approve their own quote?
Professional and up- Not when roles are set up for separation of duties. The Sales rep role has no approval permission on any quote, including its own, so putting the people who write quotes on Sales rep and the people who sign them off on Manager or Admin makes self-approval structurally impossible. Can approval escalate based on how deep the discount is?
Enterprise- Yes, with a conditional step: a manager step that activates only when the discount passes your threshold, and is skipped when it doesn't, so ordinary quotes send straight through. Conditions can key on quote value, blended discount, the deepest single-line discount, deposit percentage, products, customer tags, company location and currency. Routing by value alone is a policy scope and works on Professional; a discount-threshold rule is a conditional step and needs Enterprise. Approval workflows.
Can the buyer's own organisation approve before they accept?
Professional and up- Yes. Buyer-side chains run the same way as yours - ordered steps with named approvers - but the approvers are contacts at the buying company. The buyer sees where the quote has reached rather than an unexplained pause. Approval workflows.

Does the proposal PDF support a signature block?
Starter and up- Yes, as an optional print-and-sign block carrying an authorised signature, name and date. Acceptance itself is captured natively when the buyer accepts in the portal or their customer account - recorded with a timestamp, an acceptance hash and the accepting party's email, and stamped onto the confirmation PDF - so the signed artefact is usually a formality their process asks for rather than the record itself. Can a PO number collected on the quote form appear on the proposal PDF?
Starter and up- Yes, using a custom field. Add a custom text field labelled PO number and the buyer's answer renders in a Your request details block on the proposal PDF, and travels onto the resulting order as a buyer-visible attribute. The same approach works for a project reference, a cost centre, or anything else that has to appear on the paperwork. PDF branding and documents.
Which PDFs does QuotWay generate?
Starter and up- A branded proposal PDF from Starter, and a confirmation PDF recording a signed acceptance plus a pro-forma invoice from Professional. All three carry your logo, colours, header and footer text and terms block. PDF branding and documents.

What do the Shopify Flow triggers and actions expose?
Professional and up- Ten triggers - quote submitted, proposal sent, countered, accepted, declined, expired, converted, and approval requested, granted and rejected - each carrying the quote id and number, an admin deep link, status, mode, total, currency, actor, timestamp, customer id and buyer email, with extras such as acceptance type on the accepted trigger. Three actions write back: update a quote's status, assign it to a staff member by email, and send a quote notification. Triggers are Professional and up; actions are Enterprise. Is there a public API or outbound webhooks?
Professional and up- Not yet - a public API is coming. Shopify Flow covers most integration work today, including anything driven by a quote reaching a status: tag an order, notify a channel, create a task. What Flow doesn't carry is line-level detail, so quote lines in an external system is the case that waits for the API. Integrations.
Does QuotWay work with Shopify B2B companies and payment terms?
Enterprise, B2B-capable store- Yes. QuotWay detects whether your store supports B2B and adapts. On a B2B-capable store an accepted quote can convert with the buyer's Companies, Locations and Shopify payment terms applied to the draft order, so a negotiated deal is invoiced on terms rather than charged at checkout. That conversion behaviour is on the Enterprise plan; quoting itself needs no native B2B at all. Shopify B2B quoting.
Can a deposit be collected on a negotiated quote?
Professional and up, Shopify Plus store- Yes, on Shopify Plus stores from the Professional plan. Set a percentage on the proposal, the buyer can counter it like any other term, and the converted draft order carries it so Shopify checkout collects the deposit natively with the balance following the quote's payment terms. Deposits are a Shopify Plus platform capability, so the control doesn't appear on other stores. Take deposits on negotiated quotes.

Can buyers see their quote history when logged in?
All plans- Yes. Signed-in buyers get a My quotes page inside their Shopify customer account, plus a View my quotes entry on the Orders page. They can see their full history and act on anything live - accept, counter, decline, message you, and action any buyer-side approval step assigned to them. Can a buyer accept only part of a quote?
Professional and up- Yes. A buyer can accept the lines they're ready for and keep negotiating the rest; the accepted lines convert to a draft order straight away. An accepted quote can also be split into several draft orders for different addresses or shipments. Partial acceptance and split conversion.
What does the buyer receive by email?
All plans- Emails name the quote and link the buyer to the secure portal or their customer account - they never print prices in the body, because negotiated pricing gets forwarded. The buyer reads and accepts the figures on the signed-in surface. That's a deliberate privacy choice rather than a limitation. Email notifications.

- The full loop — quote button, guest quoting, versioned proposals, counter-offers, and conversion to a Shopify draft order — up to 10 quotes a month.
- Starter
- Adds hiding prices, custom form fields, buyer counter-offers, live carrier shipping rates, quotes you create yourself with custom line items, and the branded proposal PDF.
- Professional
- The approvals plan. Multi-step policies with named or role-based approvers, automation rules, partial acceptance and split conversion, Shopify Flow triggers, conditional form logic, and analytics with export.
- Enterprise
- Conditional approval steps — the “discount past 10% escalates” rule — plus parallel steps, timeout escalation, delegation, Flow actions, and applying Shopify Companies, Locations and payment terms when a quote converts.
The line that catches people out: routing by value(“anything over $50,000 needs a director”) is a policy scope and works on Professional, while routing by discount depth is a conditional step and needs Enterprise. See the full plan comparison.
Evaluating for a client?
Build against a Shopify development store. Test subscriptions on dev stores are free, so you can run the whole thing on Enterprise and prove out an approval chain, the cart-to-quote flow and your exclusion rules at no cost before the merchant picks a plan. The live-store trial is 14 days, which is tight for an agency build; a development store isn’t.
