Frequently asked questions

QuotWay is a B2B quote and negotiation app for Shopify, built by EFOLI. It lets merchants capture quote requests, negotiate with versioned proposals and counter-offers, route approvals, and convert accepted quotes into Shopify draft orders. Below are answers to the questions merchants ask most - about pricing, setup, Shopify B2B, what QuotWay does (and doesn’t), and what happens to your data.

Getting started

How long does setup take?

Most merchants are live in minutes: install QuotWay, add the quote button to your theme, and configure your quote form. A guided onboarding walks you through it. You don't need a developer - the quote button is a Shopify theme app embed and app block you add in the theme editor, and the quote form is configured in the QuotWay admin.

How do I add a "Request a quote" button to my store?

Add it in the Shopify theme editor - no code required. QuotWay ships a theme app embed and app block, so you can place a "Request a quote" button on product pages, the cart, or the whole catalog. Targeting rules then decide which products and which buyers see it (by product, collection, tag, type, vendor, customer, customer tag, or logged-in vs. guest).

How do I let customers request a quote instead of placing an order?

Show a "Request a quote" button on the products you choose, and buyers submit a request instead of checking out. The request lands in your QuotWay inbox, where you respond with a proposal and negotiate. You decide which products and buyers see quoting, so a retail "Buy now" path and a "Request a quote" path can coexist on the same store.

Can guests request a quote, or do they need an account?

Guests can request a quote - no account required. QuotWay verifies the request with an email-claim step, and the quote attaches to the buyer's customer account later if they create one. Guest quoting is available on every plan, so you can capture new B2B leads before they've registered.

How do I send a quote to a customer?

You can create and send a quote to a customer directly from the QuotWay admin (manual, outbound quotes are available on Starter and above), in addition to quotes buyers request themselves. You build a proposal with line items and pricing, send it, and the buyer receives an email link to view, accept, decline, or counter it in their customer account or the hosted buyer portal.

Features & how it works

Can buyers negotiate, or just request a quote?

Buyers can negotiate. They submit counter-offers from their customer account or the hosted buyer portal, and you counter back - every round is versioned and recorded. Merchant counter-offers are on every plan; buyer counter-offers are on Starter and above. Each round is captured as an immutable version, so you always know what was offered and agreed.

Can customers propose their own price or make an offer?

Yes. On Starter and above, buyers can set a requested price when they submit a quote, which becomes the negotiation's starting point, and they can send counter-offers from their account or the buyer portal. You counter back within a floor price you set, so the back-and-forth stays inside your guardrails. Every offer and counter-offer is recorded as a versioned proposal.

What happens when a quote is accepted?

The accepted quote becomes a real Shopify draft order with the negotiated prices. You can accept an entire quote or just selected lines, and split a quote into multiple orders. Partial line-item acceptance and split conversion are on Professional and above; converting an accepted quote to a draft order is available on every plan.

How do I convert a quote into a draft order?

Accept the quote and convert it in one click - QuotWay creates a native Shopify draft order with the negotiated line prices carried over exactly, never a CSV export. Before converting, drift detection re-checks tax and shipping so totals don't surprise you. Invoicing, payment, and fulfillment then happen in Shopify, where your business already runs.

Can I hide prices on my storefront?

Yes, on Starter and above. QuotWay can hide prices on your storefront - storewide or targeted to specific products or buyers - so B2B and wholesale buyers see a "Request a quote" path instead of a price. Today this hides prices visually from buyers on the storefront; it does not remove prices from search engines such as Google. Search-engine-safe hiding is planned for the Professional plan and is not yet shipped.

Can I show special pricing to approved or logged-in wholesale customers?

You can show quoting and hide prices for specific buyers using targeting rules (by customer, customer tag, customer segment, or logged-in vs. guest), so approved trade buyers get a "Request a quote" path while retail shoppers don't. QuotWay then negotiates and quotes their pricing. Note that QuotWay does not manage per-customer price lists - pricing is set through the quote and negotiation, not a stored list.

Can buyers attach files to a quote?

Yes, on Starter and above. Buyers can attach files - such as specs, drawings, or artwork - to their request (3 × 5 MB on Starter, 5 × 10 MB on Professional, 5 × 25 MB on Enterprise). Files are type-validated and rejected if they contain active or malicious content. To be clear, QuotWay does not run antivirus scanning on attachments; it validates file type and rejects active content.

Does QuotWay enforce minimum order quantities (MOQ) or manage price lists?

No. QuotWay does not enforce minimum order quantities or minimum order amounts, and it doesn't manage stored price lists or per-customer pricing tables. What it does is capture quote requests and run a structured negotiation - so when a buyer wants a volume or custom order, you quote it, agree a price, and convert it to a Shopify draft order. For MOQ enforcement, use a dedicated order-limit app alongside QuotWay.

Does QuotWay offer a public API or Shopify Flow integration?

Not yet. A public API is coming soon. QuotWay does not currently offer a public API, outbound webhooks, or Shopify Flow triggers and actions. The shipped automation is rule-based automation rules (When → If → Then) on Professional and above - for example auto-accept within a floor, auto-price, auto-assign, auto-decline, and follow-ups - configured inside the QuotWay admin.

Shopify B2B & Plus

Does QuotWay work with Shopify B2B and Shopify Plus?

Yes. QuotWay works with standard Shopify stores and with Shopify B2B / Plus features - Companies, Locations, and payment terms - and detects which mode your store supports automatically. Companies, Locations, and payment terms on conversion are part of the Enterprise plan and require a store with B2B enabled.

Do I need Shopify Plus to use QuotWay?

No. QuotWay works on standard Shopify stores. Shopify B2B features such as Companies, Locations, and payment terms (on the Enterprise plan) require a store with B2B enabled - for example Shopify Plus - but Shopify extended Companies and payment terms beyond Plus, so a B2B-capable store on another plan qualifies too. QuotWay detects your store's B2B capability automatically.

How do I offer Net 30 or other payment terms to wholesale customers?

On the Enterprise plan, with a B2B-capable Shopify store, QuotWay applies Shopify's payment terms (such as Net 30) to the order when you convert an accepted quote to a draft order. Payment terms are Shopify's own B2B feature - QuotWay reads and applies them rather than acting as a separate net-terms or credit product. The buyer then receives an invoice payable on those terms inside Shopify.

Can I do wholesale and B2B on Shopify without Shopify Plus?

Yes. QuotWay's quoting, hiding prices, negotiation, approvals, and draft-order conversion all work on standard Shopify stores - no Plus required. Shopify's native B2B features (Companies, Locations, payment terms) require a B2B-capable store, but since Shopify's 2026 rollout those are no longer exclusive to Plus, so many non-Plus stores can use them through QuotWay's Enterprise plan.

Pricing & billing

Is QuotWay free?

Yes. The Lite plan is free forever and includes up to 10 quotes per month with a complete quote-to-order workflow. Paid plans (Starter $29, Professional $79, Enterprise $199/mo) add more volume and features, and include a 14-day free trial.

How long is the free trial?

14 days on all paid plans (Starter, Professional, Enterprise). During the trial you get full access, so you can evaluate the features you're considering.

Are there per-quote fees?

Only on Starter beyond its included volume: 200 quotes/month are included, then $0.50 per additional quote, capped at $100/month. Lite has a monthly limit of 10 quotes; Professional and Enterprise are unlimited, with no per-quote fees.

Can I change plans anytime?

Yes - upgrade or downgrade at any time. Billing is handled through Shopify.

Do you offer annual billing?

Yes. Annual billing saves 20% on every paid plan - that's Starter at $23/mo, Professional at $63/mo, and Enterprise at $159/mo (billed annually). You can switch between monthly and annual billing, and billing is handled through Shopify.

Data, privacy & security

What happens to my data if I uninstall?

Your Shopify products, customers, and orders remain in Shopify. QuotWay supports Shopify's data request and erasure webhooks, and you control quote-data retention. Because accepted quotes become native Shopify draft orders, your order history stays in Shopify whether or not QuotWay is installed - there's no parallel order silo to lose.

Are file attachments scanned for viruses?

No. QuotWay validates the file type of every buyer and message attachment and rejects files that contain active or malicious content, but it does not run antivirus / virus scanning. This file-type validation and active-content rejection is the safety control in place today; treat attachments from unknown senders with the same care you would any email attachment.

Is QuotWay GDPR-ready?

QuotWay is GDPR-ready. It supports Shopify's data-request and erasure webhooks, so you can fulfill customer data-access and deletion requests, and you control how long quote data is retained. Attachment retention by plan is 30 days on Lite, 90 days on Starter, 180 days on Professional, and 365 days on Enterprise. Your underlying Shopify data stays in your Shopify ecosystem.

Where is my quote data stored, and who can see it?

Your quote data lives in QuotWay and stays tied to your store; accepted quotes become native Shopify draft orders inside Shopify. Inside the admin, access is controlled by team roles, and you set how many team seats a plan allows (1 on Lite, 3 on Starter, 10 on Professional, unlimited on Enterprise). QuotWay keeps an append-only event log of each quote's lifecycle for auditing.
